Base CRM integration with Outlook

With just a quick glance at our idea board, it was clear that our customers needed an Outlook plugin. We’ve listened to your requests and we’re happy to announce the release of Outlook integration for Base CRM. Enabling the new Outlook plugin means will be able to send incoming and outgoing email to Base from Outlook, sync your contacts and track deal progress right from Outlook.

Send Incoming and Outgoing Email to Base from Outlook

After you install the Base CRM plugin for Outlook, you will have a few new buttons in your Outlook Toolbar. When you’re composing a new email, you’ll notice a “Send and Add” button. This will send the email to the recipient and attach a copy to their contact card in Base. If they are not a Base contact, a new contact card will be created for them.

You’ll also notice an “Add to Base” button in your inbox. This button will attach incoming email to the sender’s Base contact card. Again, if they are not an existing contact, we will create a card for them.

 

Sync Contacts and Track Deal Progress

When you install the Base Plugin for Outlook, you can sync your existing contact groups with Base. Any time you update a contact in Outlook, the contact will be updated in Base. Likewise, any updates to contacts in Base will be reflected in Outlook. After you’ve synced your Base CRM contacts with Outlook, you can open a contact and see all related deals.

    Question for you (maybe not the right place for it…)

    I’m syncing with Outlook, and it is working, to some extent. But when I create a contact in Outlook, and create it with in the “Base – Contacts” group, it is not being created in Base. Does the sync only “update” contacts, or is it also capable of “creating” contacts?

    Does it work with Outlook 2013 for Mac?

      Hi Andy,

      Outlook for Mac doesn’t accept plugins so unfortunately, Base for Outlook won’t work on Macs. However, you’re still able to connect your email account to Base so all of your emails automatically show up on Contacts, Leads and Deals. To do this, just go to Settings > Email.         This link has no relevance. What do people do if their Exchange service doesn’t offer IMAP???

          Steve,
          In the future we will be adding an out-of-the-box Exchange connection. For now, the only way to connect to an Exchange network is through iMAP or the Outlook plugin. You’re not by chance using Office 365 are you?

            That would make it easy as I would have IMAP settings. The company I am consulting for has a server and does not offer IMAP. What do we do? The users that this issue affects are the Mac users. So to explain… Outlook for Mac (no plugins). No IMAP. If there is a rule to make it so that it BCC’s base, we haven’t figured it out where it actually works (and we’ve tried a lot). Would appreciate if you could help.

            You are correct that the third option is using the BCC dropbox. There’s the Contact Dropbox address that you will find on any contact card. When you forward an incoming email to this address, or BCC the address in outgoing email, the message will automatically attach to the person’s contact card in Base.

            You may be able to set up mailbox rules for forwarding or bcc’ing to have this happen automatically but it would depend on the mail service you’re using. This could also result in unwanted, non sales related, email being sent to Base.

            Please email our support team (support [at] getbase.com) with which mail service you’re using and they will do everything they can to get this straightened out for you and your customer. Link to this conversation too so they can see what you’ve mentioned already. Thanks!

    Sync Contacts is dimmed in Outlook after installing.. How can I fix this?

      Jose, Outlook for Mac doesn’t allow plugins, so its not something that’s possible at this time. Sorry!

    is this only for PC or MAC as well?

      Unfortunately, this is only for PC. The Mac version of Outlook does not accept plugins.

    Not sure if anyone else is having the same problem but I’m getting a lot of duplication of contacts with the outlook plug-in.

    I delete the ones that I don’t need but the plug-in keeps syncing them back in.

    Any workaround to this? i.e. keeping deleted contacts deleted without having to standardise all contacts manually?

    Wish there was something that would cater to the mac market – can’t find any options out there for integrated email and crm, except those which work straight of gmail… and who wants to do that?!

        After investigating more I think it is more than an integration with a the mail app, like Base have done with gmail, but a service which assigns emails previously sent to a contact to appear within the crm. Possibly using context.io? Looks like one CRM company using this is: nimble crm – this lets you manage from a single source.

          When you connect your email to Base (via Gmail, IMAP/SMTP, etc) we’ll pull in previous emails to and from Base contacts. Regardless of where the email is sent from(Macmail, Gmail, Outlook), as long as you have Auto-sync enabled, we still track the conversation.

          We’ll take a closer look at context.io but we also need to be conscious of how this translates to mobile as well. If you need help getting the Email with Auto-sync set up, email us at support@futuresimple.com

            Thanks for this. That is good to see emails within Base. I had missed that. I’m sticking with Nimble at the moment because I can view my Inbox and add directly to their CRM from my Inbox. I can’t see a way to do this in Base for a Mac user unless I use gmail.

            The Email Auto-sort in Base automatically pulls in emails to and from Base contacts (regardless of where they are sent) so there is no need to manually send the email to your CRM. We have an inbox view as well, but it only shows you your sales specific emails. This is in an effort to avoid distractions and keep you focused on your relevant sales emails.
